Are you highly organized, calm under pressure, and great with people? Join our Municipal Court team as a Court Specialist I, where no two days are the same. You'll work directly with the public, attorneys, and law enforcement to support the daily operations of our busy courtroom.

This role is ideal for someone who thrives in a fast-paced, detail-oriented environment. You'll be responsible for updating case files, processing legal paperwork, responding to inquiries, and helping ensure court proceedings run smoothly. Whether you're assisting a customer at the counter or managing time-sensitive tasks behind the scenes, your role is critical to the fairness, efficiency, and professionalism of the court.

Required Education and Experience:

  • Graduation from high school or GED equivalent; and
  • Must be 18 years of age or older; and
  • Two (2) or more years of experience in social work, judicial, legal or law enforcement field which must include clerical, administrative support, and/or customer relations experience.
Preferred Qualifications:
  • Judicial experience
  • Knowledge of the criminal justice system

Available Schedule:

  • Monday - Friday, 8:00 AM - 5:00 PM
  • Opportunity for alternate schedule after the first 90-days:
    • 9-80 (nine-hour workdays with a three-day weekend every other week)

**Scheduled salary increases and a 2.5% Cost of Living Adjustment (COLA) will be effective July 1, 2025** The anticipated hiring range for theCourt Specialistposition is $23.51(first step) to $24.68or $25.92(second or third step).The City of Medford determines starting pay based on an evaluation of relevant education, experience, andqualifications as provided by the applicant in their application materials, alongside others who perform work of comparable character consistent with the Oregon Equal Pay Act.Sixsteps are included in this salary range, allowing opportunity for annual movement through the steps.

Essential Functions of the Position:
  • Provides support to the Municipal Court and all Court activities, requiring discretion in interpretation and application of policies, procedures, general orders, and established practices.
  • Prepares and processes documents, reports and correspondence files.
  • Responds to a high volume of phone calls, mail, payments, and emails, etc.
  • Distinguish between and understand a variety of case types and take appropriate actions.
  • Assists defendants in resolving violation cases through informed knowledge of court policies, procedures, and special programs.
  • Uses exceptional interpersonal communication and customer service skills to support clients and defuse and resolve issues for difficult, sometimes angry/hostile customers.
  • Performs extensive computer entry; scans and retrieves sensitive, confidential information involved in police reports into state database, federal, and local computer systems.
  • Executes the timely processing of pending cases, which includes preparation of the Court Docket: the scheduling of appearances, execution of warrants, subpoenas, writs, orders and notices.
  • Processes the collection, receipt, of monies, and other funds that pass through the Court system including financial adjustments to case ledgers including but not limited to refunding, transferring, and applying funds.
  • Responds to inquiries and provides assistance to the public and City personnel regarding routine requests for Court related matters and information.
  • Assists citizens with complaints, collects monies and issues receipts for various fees, collects bail, and provides public information, deals with diverse situations and sometimes difficult public contacts
  • Initiates and processes removal of suspensions orders, warrants, and release of defendants from custody. Processes requests for court appointed attorneys.
  • Assists judge in the courtroom, record all case dispositions during court proceedings, supply correct documents and information during court proceedings including facilitating the proceedings through a variety of functions as needed.

Work Environment & Physical Demands:
This is an office-based position with a typical office environment, including comfortable temperature and lighting. The role may involve interactions with the public who may be hostile and the usual level of office distractions.

This position requires the ability to sit or stand for extended periods, with occasional movement around the office. This may include bending, stooping, twisting, and reaching to access files or equipment. Employees must be able to operate standard office equipment, including computers, printers, and telephones. Good eyesight, hearing, and hand-eye coordination are essential for this role.
