Court Operations Associate (Jury/Calendar Clerk)

The Jackson County Circuit Court in Medford, Oregon, is hiring a Jury/Calendar Clerk (Court Operations Associate). In this role, you will review juror responses, postpone service for and dismiss potential jurors as appropriate, send letters, and answer questions from potential jurors. You will maintain records of processing, jury selection, attendance, and payroll. You will record the nightly juror reporting phone messages. You will provide jury orientation sessions, issue jury oaths, and swear in prospective alternate grand jurors. You will prepare and deliver juror lists. You will also scan documents, check the image quality, and enter the documents into juror records.

Additionally, you will create and maintain court sessions and hearings for the civil, probate, criminal, and juvenile units. You will publish daily, weekly, and annual calendars. You will process court filings and will use Microsoft Excel extensively to maintain the court docket. You will also enter and schedule criminal motion hearings, special set hearings, and remote proceedings that are conducted over the phone or via video conference. You will answer questions from the public, attorneys, judges, court staff, litigants, and partner agencies about court processes, procedures, and scheduling. The customer service you provide will be in person, over the phone, and in writing.

Assigned tasks may be changed to accommodate workload and organizational needs.

Minimum Qualifications (These must be evident in your resume or work history.)

The qualified candidate must have a high school diploma or equivalent AND at least three (3) or more years of responsible experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.

OR

Any combination of education and experience equivalent to three (3) years of experience that typically supports the knowledge, skills, and abilities for the position.

Requested Skills and Attributes (These must be addressed in your cover letter.)

  • Experience performing a variety of clerical or administrative support tasks, with strict deadlines in a busy business or professional setting.
  • Experience using a variety of software programs, including Microsoft Excel, to access and input information and complete various tasks.
  • Experience coordinating schedules and maintaining calendars for multiple people.
  • Experience providing customer service to a variety of individuals in challenging circumstances.
  • Experience and skill in public speaking and addressing large groups of people.

Working Conditions

  • This is a full-time position, and the work schedule currently is 8:00 a.m. to 5:00 p.m. Monday through Friday. This position is eligible for overtime compensation for hours worked in excess of 40 per workweek.
  • Occasional early-morning, after-hours, or overtime work may be required.
  • Each week, this position may provide a one-hour jury orientation session for approximately 75 jurors.
  • This is a fast-paced, high-volume office environment with multiple deadlines and interruptions daily, which requires careful time management, attention to detail, and multitasking (often concurrently).
  • Daily data entry and work with confidential documents and information.
  • Frequent phone and in-person contact with people from diverse backgrounds.
  • Frequent phone and in-person contact with people who may be facing challenging life circumstances, highly stressful situations, or trauma, including people who may be angry, hostile, or confused.
  • Daily contact with the public regarding criminal, civil, and family court cases, with victims of crimes and domestic abuse, and with law enforcement agencies.
  • Frequent lifting, bending, twisting, and kneeling may be required.
  • Lifting objects that weigh up to 40 pounds may be required.
  • Long periods of sitting or standing may be required.
  • Regular use of the following equipment: telephone, OJD-assigned computer with multiple monitors, copy machine, fax machine, scanner, and other electronic devices.
  • The qualified candidate must start the process of CJIS clearance within the first week of hire.
