AREA ADMINISTRATIVEASSISTANT

This position will support center's in Sam's Valley, Eagle Point, and Gold Hill
PURPOSE:
TheArea Administrative Assistant supports the Site Manager by helping ensure thatassigned centers operate smoothly and that all required services are deliveredin alignment with Head Start Performance Standards. This position performs awide variety of administrative and center-support functions, contributes todaily operational needs, and offers backup support across center operations asneeded. The role also assists with agency and center projects as assigned bythe Site Manager or the Data Monitoring and Compliance (DMC) Department, whilemaintaining professionalism, accuracy, and adherence to all Agency policies andprocedures.
ESSENTIAL JOB DUTIES:
I. GENERALCLERICAL DUTIES
A. WordProcessing and Data Entry
• Letters, forms andreports;
• Maintain andmonitor database information;
• Generatenewsletters, memos, etc.;
• Generaterequired reports as assigned.
B. SpecialProjects
• Provide supportfor Agency level projects, as assigned;
• Assistwith coordination of meetings and/or events.
C. Filing
• Sort, crossreference, and file letters, reports and/or other documents;
• Maintainup-to-date files and systems.
D. Mail
• Open, sort, and/ordistribute incoming mail, messages, and/or reports;
• Pick-upand drop-off interagency and postal mail/packages as directed.
E. Photocopying,Collating, and Laminating
• Letters, forms andreports;
• Teacher Calendars;
• Newsletters.
F. CenterSupplies
• Manage,order, shop for, and inventory center supplies, as assigned.
G. Trainingsand Meetings
• Attend trainingsand/or meetings, as assigned;
• Takeminutes of center meetings and distribute, as assigned.
H. Answer phones anddirect calls appropriately.
I. Provide assistanceto parents, volunteers, and the general public as needed at the center.
J. Promote andactively facilitate good teamwork and team building with the entire centerstaff.
K. Maintain financialrecords as assigned.
L. Operateand maintain center office equipment.
II. CENTERSUPPORT
A. Assistcenter teams to ensure all services are available to enrolled children asassigned by the Site Manager.
B. Providebackup for bus monitor, nutrition, and classroom services.
C. Assistwith daily center cleaning and maintenance as needed.
III. INTERACTIONWITH CHILDREN, PARENTS, AND CO-WORKERS
A. Mustrelate in a positive, nurturing and supportive way, both verbally andphysically, and be sensitive to the needs of children, parents and co-workers.

REQUIRED JOB SPECIFICATIONS
Education: Highschool diploma or equivalent required; AA in Business, Office Administration orrelated field preferred. Documented postsecondary coursework or equivalentcombination of education and experience may substitute for degree. Courseworkin Human Services or Early Childhood Education is beneficial.
Experience: Minimum one (1) year office assistant or general clerical experience required.Experience working with preschool-aged children or in an early childhoodeducation setting preferred.
Certifications: CPR/First Aid Certification and Food Handler Certification required. (Certifications may be obtained after hire.)
Essential Skills: Abilityto use Microsoft Office and database programs; strong communication andorganizational skills; exercise good judgement, stay flexible, and adapt tochanging needs; ability to manage multiple tasks and maintain accurate records;work independently or as part of a team; handle confidential information; and remainattentive and appropriate when assisting with child-supervision duties. Ability to read, write, and communicateeffectively in English to understand and follow procedures, ensure safety, and completerequired documentation related to the position.
EssentialPhysical Requirements: This position is classified as Center-Facing.Ability to lift and carry up to 40 lbs. a distance of 25 feet and to pushand/or pull up to 40 lbs. a distance of 20 yards. Sufficient mobility,strength, and range of motion to perform standing, walking, balancing,stooping, bending, crouching, crawling, sitting on the floor, reaching,squatting or kneeling, twisting, and ascending or descending steps. Ability toreact quickly to the physical actions of children. Ability to sit for extendedperiods of time as required by the position. Sufficient stamina to perform jobduties at the required frequency. Sufficient vision, hearing, manual dexterity,and eye-hand coordination to perform job duties safely and effectively. Thesephysical requirements reflect the maximum potential demands of working in acenter-based setting and are not indicative of continuous lifting or carrying.
Exposureto Hazards: Repetitive motion tasks; sitting for longperiod of time; use of personal computer and other office equipment; unpredictablechild and parent behavior; exposure to contagious conditions; hazardouschemicals; driving and riding in motor vehicles.
WorkingConditions: Indoor office and preschool centers, frequentlocal travel and occasional out of town travel.
