Overview

Lomakatsi Restoration Project, a nonprofit forest and watershed restoration organization based in Ashland, Oregon, seeks a full-time Fleet, Equipment & Facilities Manager to join our growing team. This pivotal position is responsible for maintaining the organization`s vehicles, equipment, and gear to support our work implementing landscape-scale forest and watershed stewardship initiatives across Oregon and Northern California. Job Description

The Fleet, Equipment & Facilities Manager (FEFM) is responsible for all aspects of ensuring the safe and efficient operations of Lomakatsi's equipment, vehicles, and infrastructure. The FEFM plans, organizes, and directs the purchase, maintenance, repair, replacement, and disposal of Lomakatsi vehicles and equipment.  The FEFM ensures tools and equipment meet operating and safety standards, and provides or arranges maintenance and repairs for Lomakatsi facilities located in Ashland, OR (headquarters), as well as field offices in Chiloquin, OR and Alturas, CA.

The FEFM is responsible for creating a maintenance schedule and implementing a preventative maintenance program to avoid breakdowns and costly repairs. FEFM must maintain accurate, electronic tracking records of all repairs and maintenance tasks performed. Responsibilities include direct supervision of maintenance personnel and evaluating the performance of internal and external mechanics and technicians to ensure quality workmanship.

The FEFM works directly under the Operations Director and may be accountable to additional Lomakatsi staff or managers depending on project or operational circumstances.

Duties and Responsibilities

  • Inspect, maintain, and repair 30+ fleet trucks and vans, off road vehicles, and trailers to ensure safety and function—this includes overseeing a regular inspection and maintenance schedule to minimize downtime, coordinating with staff on maintenance windows, maintaining an inventory of spare parts and keys, and ensuring all vehicles are outfitted with the standard equipment
  • Maintain accurate records of vehicle maintenance, repairs, and expenses, and report on these to senior management, while identifying and implementing improvements to vehicle maintenance processes to increase efficiency and effectiveness
  • Ensure all vehicles are properly licensed and insured with appropriate documentation, and handle all DMV and DEQ transactions to maintain valid passenger registration on fleet vehicles
  • Prepare fire vehicles for deployment and obtain annual MSPA vehicle inspections, and provide support for Lomakatsi`s wildland fire crews, working evenings and weekends as needed 
  • Research, obtain quotes, inspect, purchase, and prepare new vehicles and equipment as needed, maintaining professional relationships with vendors, suppliers, and maintenance shops 
  • Organize, maintain, track, and repair the organization`s forestry tools and equipment, including 70+ chainsaws and a variety of power equipment such as weed eaters, mowers, leaf blowers, water pumps, drip torches, and more
  • Order and maintain supplies for a workforce of 60+ forestry workers, including plastic sheeting, gas, bar oil, fuel mix, replacement chains, files for sharpening, safety glasses, chaps, Nomex, vehicle cleaning supplies, and more
  • Provide planning and administrative support for management by developing and tracking budgets for vehicle maintenance, repairs, and supply purchases, managing risk and loss by tracking expenses, controlling costs, and tracking inventory and usage of tools and supplies
  • Advance organizational safety by ensuring compliance with all applicable safety regulations and standards, participating in regular safety meetings, and championing the use of personal protective equipment, safe handling of hazardous materials, and adherence to safety procedures
  • Supervise, train, and evaluate maintenance staff; ensure proper training, provide ongoing coaching, monitor and assess performance, and oversee scheduling and workplans
  • General shop and office duties may include facility maintenance (trash and recycling), carpentry, fueling vehicles, and odd jobs
  • Other duties related to the job may be assigned temporarily or permanently as needed

POSITION REQUIREMENTS

Qualifications and Experience:

  • 5 years of experience in vehicle and chainsaw repair and maintenance
  • A.S.E. certified mechanic preferred
  • Strong understanding of the tools, lubricants, equipment, and procedures used in servicing, over-hauling, repairing, and adjusting a variety of gas- and diesel-powered automotive and other power-driven equipment
  • Understanding of personnel principles and practices including supervising, training, and performance evaluation; supervisory experience, including motivating, leading, setting objectives, and managing performance is strongly desired
  • Understanding and adherence to Occupational Health and Safety Standards and safe work practices of this position and those for forestry workers
  • Experience with record keeping, reporting, and accounting procedures and practices

  • Outstanding interpersonal skills, including excellent written and verbal communication, and the ability to interact with diverse staff, community members and vendors with kindness and integrity
  • Analytical mindset with exceptional attention to detail and problem-solving capabilities, including the ability to troubleshoot problems quickly and efficiently in a diverse and challenging environment
  • Strong organizational skills and the ability to manage time and prioritize tasks and diverse activities under deadlines while delivering quality results.
  • Proficient computer skills such as using an automated maintenance management system and working knowledge of Microsoft Office Suite including Word, Excel, and Outlook
  • Self-starter that can work independently to overcome obstacles
  • Adaptability and flexibility in the face of changing priorities and work schedules, including the willingness to work outside normal business hours if necessary
  • Bilingual English/Spanish preferred

Physical Requirements

  • Lift objects of various dimensions and up to 100 lbs. of weight frequently
  • Ability to repeatedly climb stairs and ladders, and to work near, around, or on light and heavy equipment
  • Ability to repeatedly balance, bend from the trunk, crawl, kneel, push, and pull objects
  • Ability to tolerate working outdoors in all environmental temperatures and weather
  • Ability to repeatedly reach, squat, and tolerate prolonged standing/walking/sitting
  • Ability to repeatedly walk on uneven surfaces

Benefits Package: 

This is a full-time, salaried position with an annual compensation range of $65,000 to $85,000 depending on skills and experience
